What we collect, and why
When you buy from our shop. Name, delivery address, billing address, email, phone number, and the contents of your order. We need this to take payment, deliver your coffee, and meet our tax and accounting obligations. Payment card details are handled by our payment provider and are never stored on our servers.
When you book or enquire about a course. Name, email, phone, and any professional details you give us. Where a course leads to certification by the Specialty Coffee Association (SCA) or the Coffee Quality Institute (CQI), we share the details those bodies require in order to register you and issue your certificate. We tell you before we do this.
When you contact us. Whatever you put in the message, plus your email address so we can reply.
When you subscribe. Your email address, held until you unsubscribe.
When you visit. Standard technical data — IP address, browser type, pages viewed, referring site — collected by our analytics and security tools.
When you comment. The comment, your name and email, your IP address and browser string, used for spam detection.
Cookies and tracking
We use:
- Essential cookies — cart contents, login sessions, security. The site does not work without these.
- Analytics — Google Analytics via MonsterInsights, to understand which pages are used.
- Meta Pixel — Facebook and Instagram advertising and measurement. This shares data with Meta Platforms.
- Jetpack — site statistics and security.
- OptinMonster — controls when signup prompts appear.
We use a consent banner to record your cookie preferences, and you can change them at any time through it. You can also block or delete cookies in your browser settings. We are currently improving how our analytics and advertising tools respond to those preferences.
Who we share data with
- Delivery partners — name, address, phone, to deliver your order
- Payment providers — to process payment
- SCA and CQI — course registration and certification only
- Hosting — Hostinger, which stores site data on its servers
- Email — Zoho, which processes our business email
- Meta and Google — through the tracking described above
We do not sell your personal data. Ever.
International transfers
Some of the services above process data outside Kenya. Where that happens we rely on the providers’ own safeguards and contractual protections.
How long we keep it
- Orders and invoices: 7 years, to meet Kenyan tax record-keeping requirements
- Course and certification records: retained for as long as the certification remains valid and verifiable, so that we can confirm a learner’s record on request
- Marketing emails: until you unsubscribe
- Enquiries: 24 months from last contact
- Analytics: per the providers’ own retention settings
Your rights
Under the Data Protection Act 2019 you can ask us to:
- tell you what data we hold about you
- correct anything inaccurate
- delete your data, where we are not required to keep it
- stop using it for marketing
- give you a copy in a portable format
- object to certain processing
Write to info@utakecoffee.com and we will respond within the period the Act requires. If you are not satisfied, you can complain to the Office of the Data Protection Commissioner (ODPC) of Kenya.
Security
We use HTTPS across the site, restrict administrative access, and keep our systems patched. No system is perfectly secure, but we take this seriously and we act quickly when something needs attention.
Children
The site is not intended for children under 18 and we do not knowingly collect their data.
Changes
We will post any changes here and update the date at the top.
